BACKGROUND

Barcoding’s customer, a medical billing company with employees operating on a fully remote basis, was using spreadsheets to track various IT assets, including smartphones, computers, and monitors.

Because all employees work from home, company assets are dispersed across their many remote work locations. Most company equipment had been purchased independently. Some newer IT assets were procured through Barcoding’s services, and the customer was using IntelliTrack to manage those Barcoding-procured devices.

CHALLENGES

While the company was using the IntelliTrack IT Assets bundle after partnering with Barcoding for mobile device procurement, it was struggling to track its many other IT assets spread over multiple remote locations. The assets spreadsheets were often inaccurate, leading to inefficiencies tracking down true information, as well as updating the spreadsheets when possible.

For those assets, there was no system in place to track hardware and equipment returns, reassignments, repair requests and completions, service contracts, warranties, lost devices, or end-of-life asset disposition.

Plus, the company was struggling to calculate and track asset depreciation for tax purposes.

SOLUTIONS

The Barcoding team introduced the customer to IntelliTrack’s Fixed Asset bundle, an ideal solution for tracking distributed company assets, and helped them implement the solution and import the data from their spreadsheets into the system.

IntelliTrack allows the company’s assets to be organized by employee assignment, and assets can easily be reassigned when moved from one person or location to another.

The new system also allows the company to easily retire those assets at the end of device lifecycles, and to maintain accurate and up-to-date records of all service contracts, purchase prices, and asset depreciation for business tax purposes.

The customer now has instant access to in-depth information on service contracts, warranties, and end-of-life dates for all devices and assets, and it’s quick and easy to see updates on repairs and broken and/or lost equipment

RESULTS

Guided implementation of IntelliTrack Fixed Assets bundle delivered comprehensive, company-wide visibility and accurate tracking of all IT assets—those procured with Barcoding’s help and those purchased directly by the company.

By tracking assets by employee and monitoring movements and reassignments, the company saves time, labor, and costs associated with asset replenishment.

Most importantly, IT’s improvements in supporting devices and equipment has resulted in a notable increase in employee productivity.
